Overview
Rollteer Hub is a Software-as-a-Service (SaaS) platform developed and operated by Rollteer LLC, designed specifically for commercial trucking operations. The platform provides tools for load management, fleet tracking, driver coordination, revenue analytics, expense reporting, and document management.
By accessing or using Rollteer Hub at hub.rollteer.com, you agree to the collection and use of information as described in this Privacy Policy. If you do not agree, please discontinue use of the platform.
This policy applies to all users of the platform, including account administrators, fleet operators, drivers, and any other individuals who interact with Rollteer Hub services.
Information We Collect
Account & Identity Information
- •Full name and email address
- •Phone number (optional, used for WhatsApp notifications)
- •Profile photo (optional)
- •Company name and business details
- •Billing name and address
- •Role within the organization (Administrator, Operator)
Fleet & Operational Data
- •Truck information: license plates, VIN numbers, unit numbers, model, year, capacity, and operational status
- •Driver information: names, license numbers, phone numbers, and email addresses
- •Trailer information: trailer numbers, model, year
- •Load records: origin, destination, dates, cargo type, weight, payment amounts, fuel stops, and mileage
- •Operational periods: trip groupings, revenue, expenses, and profit margins
- •GPS and route data when Google Maps integration is enabled
- •Document uploads: delivery receipts, permits, fuel receipts, maintenance records, and other fleet-related documents
Communications Data
- •WhatsApp messages sent and received via the integrated messaging center (stored to display conversation history within the platform)
- •Driver phone numbers used for messaging via our Twilio integration
- •Email communications with our support team
Technical & Usage Data
- •IP address and approximate geolocation
- •Browser type, version, and operating system
- •Pages visited, time on platform, and feature usage patterns
- •Session cookies and authentication tokens
- •Error logs and performance diagnostics
Payment Information
Payment processing is handled exclusively by Stripe, a PCI DSS Level 1 certified payment processor. Rollteer Hub does not store credit card numbers, bank account details, or any raw payment credentials. We receive only transaction confirmations and subscription status from Stripe.
How We Use Your Data
We use the information we collect exclusively for the following purposes:
Platform Operation
To provide, maintain, and improve the core functionality of Rollteer Hub, including load tracking, fleet management, and financial reporting.
Account Management
To create and manage your account, authenticate your identity, and maintain your subscription and plan settings.
Driver Communication
To facilitate WhatsApp messaging between fleet operators and their drivers through our integrated messaging center.
Financial Analytics
To generate revenue reports, expense summaries, profit margin calculations, and other financial dashboards based on your operational data.
Document Processing
To store, organize, and retrieve fleet documents using AI-assisted tagging and categorization features on eligible plans.
Customer Support
To respond to your inquiries, resolve technical issues, and improve the platform based on your feedback.
Platform Security
To detect, prevent, and respond to fraud, abuse, unauthorized access, and other security threats.
Legal Compliance
To comply with applicable laws, respond to lawful government requests, and enforce our Terms of Service.
We do not sell your data. We do not use your fleet data, driver information, or operational records for advertising purposes, and we do not share this information with data brokers or marketing companies.
Data Retention
We retain your data for as long as your account remains active or as needed to provide you with the services you have requested. Specifically:
- •Account and profile information is retained for the duration of your subscription plus 90 days after account closure, to allow for account recovery and dispute resolution.
- •Operational data (loads, trips, drivers, fleet records) is retained for the life of your account and for 2 years after account closure to comply with transportation industry record-keeping regulations.
- •Financial records and billing history are retained for 7 years in compliance with U.S. tax regulations.
- •WhatsApp message history is retained for 12 months and then automatically purged.
- •Technical logs (access logs, error logs) are retained for 90 days.
- •Upon written request for account deletion, we will remove or anonymize all personal data within 30 days, except where retention is required by law.
Your Rights
Depending on your location, you may have the following rights regarding your personal data:
Right to Access
You may request a copy of the personal data we hold about you.
Right to Correction
You may request that we correct inaccurate or incomplete data.
Right to Deletion
You may request deletion of your personal data, subject to legal retention requirements.
Right to Portability
You may request your data in a structured, machine-readable format.
Right to Object
You may object to certain types of processing, including profiling.
Right to Restrict
You may request that we limit how we process your data in certain circumstances.

Security
We implement industry-standard technical and organizational measures to protect your data against unauthorized access, alteration, disclosure, or destruction:
- •All data in transit is encrypted using TLS 1.2 or higher (HTTPS enforced across all endpoints)
- •All data at rest is encrypted using AES-256 encryption
- •Authentication is protected by bcrypt password hashing and optional OAuth 2.0 (Google Sign-In)
- •Session tokens are short-lived and rotated upon each authentication
- •Access to production systems is restricted to authorized personnel via multi-factor authentication
- •Regular security audits and penetration testing are conducted on the platform infrastructure
- •Database backups are encrypted and geographically distributed
Despite our efforts, no method of internet transmission or electronic storage is 100% secure. If you discover a security vulnerability, please report it immediately to admin@rollteer.com.
Third-Party Services
Rollteer Hub integrates with the following third-party services to deliver its functionality. Each service has its own privacy policy which governs how they handle data processed on their systems:
Google OAuth & Google Maps
User authentication and real-time mapping, mileage calculation, and address autocomplete.
Stripe
Subscription billing and payment processing. Rollteer Hub does not store payment card data.
Twilio / WhatsApp Business API
Driver communication via WhatsApp messaging. Messages are routed through Twilio's infrastructure.
Resend
Transactional email delivery for notifications, weekly reports, and system alerts.
Cloudflare R2
Secure cloud storage for uploaded fleet documents and media files.
Children's Privacy
Rollteer Hub is a professional business platform intended solely for use by adults aged 18 and older in a commercial trucking or fleet management context. We do not knowingly collect, solicit, or maintain personal information from children under the age of 13. If we become aware that we have inadvertently collected personal information from a child under 13, we will take immediate steps to delete that information from our systems. If you believe a minor has provided us with personal information, please contact us immediately at support@rollteer.com.
Policy Changes
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or for other operational reasons. When we make material changes, we will:

- •Send an email notification to all registered account holders
- •Display a prominent notice within the Rollteer Hub dashboard for a period of 30 days
